Manage Dashboard Report Schedules

Applies To: Wi-Fi Cloud-managed Access Points (AP120, AP125, AP225W, AP320, AP322, AP325, AP327X, AP420)

You can schedule a PDF report to automatically generate for the last day, week, or month for a specific location. You can configure the report schedule to send the PDF file to multiple email addresses. The PDF file is converted to a compressed zip archive file before it is attached to the email message.

To make sure the email message is delivered, you must configure the email settings in Admin > SMS and Email Settings > Email in one of these ways:

  • If the Email Service Type is SMTP Configuration, the From Email ID and Return Email ID must be specified.
  • If the Email Service Type is System Email, the Return Email ID must be specified.

If the email settings are not configured correctly, the reports are not saved for delivery and an error occurs.

Schedule a Dashboard Report

You can create one-time or recurring schedule for reports.

There are two ways to schedule a Dashboard report.

  • From the Dashboard tab
  • From the Reports tab

Schedule a One-Time Dashboard Report

To generate the Dashboard report only once, you can use the One Time option. If you activate the schedule while adding the report, the report is generated per the given date and time. If the schedule is not activated, the report is not generated unless you activate the schedule.

If you have already selected a location and are viewing the Dashboard for the location and wish to define a schedule, you can add the schedule through the Dashboard.

Alternatively, if you want to define a schedule for a location, you must first select the location and then navigate to the Reports tab or to the Dashboard tab, and add the schedule for the Dashboard report for this location.

To add the schedule from the Dashboard or the Reports tab:

  1. Select either Dashboard or Reports.
  2. Click the Download as PDF icon.
    The Download Report and Schedule Report buttons appear.
  3. Click Schedule Report.
  4. Type a name in the Enter report name text box.
  5. In the Select Section drop-down list, select a section of the Dashboard.
  6. In the Select Chart drop-down list, select which chart you want to see.

For some charts, a sub-list appears. For example, the Floor Map chart shows the sub-list Select Time Range.

  1. Click Save.
    The new report appears on the Reports page.
  2. To configure the schedule for the report, click the Show Options icon for that report.
  3. Click Schedule.
  4. For the frequency type, select One Time.
  5. In the Generate At text box, click the calendar icon and select a date.
  6. Click the time icon and select a time.
  7. Type one or more email addresses in the Email Addresses text box.
  8. To activate the schedule, select the Active check box. To activate the schedule at a later point, leave the check box clear.
  9. Click Save.

Schedule a Recurring Dashboard Report

To generate the Dashboard report at regular intervals, you must use the recurring option. If you activate the schedule while adding the report, the report is generated per the given date and time. If the schedule is not activated, the report is not generated unless you activate the schedule.

If you selected a location and are viewing the Dashboard for the location want to define a schedule, you can add the schedule through the Dashboard.

To define a schedule for a location, you must first select the location and then navigate to the Reports tab or the Dashboard tab and add the schedule for the Dashboard report for this location.

To add the schedule from the Dashboard tab:

  1. Select either Dashboard or Reports.
  2. Click the Download as PDF icon.
    The Download Report and Schedule Report buttons appear.
  3. Click Schedule Report.
  4. Type a name in the Enter report name text box.
  5. In the Select Section drop-down list, select a section of the Dashboard.
  6. In the Select Chart drop-down list, select which chart you want to see.

For some charts, a sub-list appears. For example, the Floor Map chart shows the sub-list Select Time Range.

  1. Click Save.
    The new report appears on the Reports page.
  2. To configure the schedule for the report, click the Show Options icon for that report.
  3. Click Schedule.
  4. For the frequency type, select Recurring.
  5. In the Repeat Everydrop-down list, select a number.
  6. Select Day(s), Week(s), or Month(s).
  7. In the Start Schedule text box, click the calendar icon and select a date.
  8. Click the time icon. Select a time.
  9. In the End Schedule text box, click the calendar icon and select a date.
  10. Click the time icon and select a time.
  11. Type one or more email addresses in the Email Addresses text box.
  12. To activate the schedule, select the Active check box.
  13. Click Save.

Edit Dashboard Report Schedule

You can edit the previously created dashboard report schedules.

The location for a report schedule cannot be edited. It is a read-only field that is populated based on the location you select when you create the schedule.

To edit a Dashboard report schedule:

  1. Select the location.
  2. Click Reports
  3. Click the Report Name link for the schedule you want to edit.
  4. Make the required changes.
  5. Click Save.

Delete Dashboard Report Schedule

You can delete individual Dashboard report schedules.

To delete a Dashboard report schedule:

  1. Select the location.
  2. Click Reports and then click the Show Options icon for the schedule to be deleted.
  3. Click Delete.
  4. To confirm the deletion, click Delete again.

Download Scheduled Dashboard Report

You can download the Dashboard report from the Reports tab. The duration for which this report is generated is based on the duration specified in the schedule. The report is generated with respect to current system time. For example, if the duration specified in the schedule is 7 Days, the downloaded report is for the last week with respect to the current system time.

To download the Dashboard report:

  1. Select the location.
  2. Click Reports and then click the icon for the report zip file to be downloaded.
  3. Click the Show Options icon for the report.
  4. Click Download.
    The report downloads to the default downloads folder.
